Visitor Host's Roles & Responsibilities

Thank you for your contributions to TNT and helping us grow our organization! You've been selected as your chapter's visitor host. Please read the responsibilities for this position below. This page will cover what is expected of you during your time in this leadership role and give you some pointers for getting started in leadership.
As visitor host, your job is to greet and welcome people as they arrive to the meeting. Visitor host is a simple job that is perhaps the most important. When the first thing a visitor sees is a smiling face with a hand extended out, it creates a powerful first impression.
What Do Visitor Hosts Do
- Arrive to the weekly meeting 15 minutes early
- When a visitor enters, make sure you great them with a warm smile and a firm handshake.
- Ask visitors who they are, what their business is and how they heard about us.
- Have visitors and substitues sign in on the Visitor/Substitute Sign-in Sheet and ask them for 4 business cards.
- Distribute collected business cards to your chapter's leadership.
- Announce the visitor(s) to the group and thank them for attending.
- Within 24hrs of your meeting, submit a Visitor Host Report using the Visitor Tracking Form.
Arrive Early
The visitor host should be the first person a visitor sees upon arriving at the meeting. The visitor host should always make sure the arrive 15 minutes before the meeting, and help keep the room engaged in open networking. The best place for this member is close to the door and aware of the entrance. When a visitor enters, make sure you great them with a warm smile and a firm handshake. Ask them who they are, what their business is and how they heard about us.
Visitor & Substitute Sign In
Invite them to sign in on the Visitor/Substitute Sign-in Sheet and ask them for 4 business cards. Make sure you distribute the cards you collected to select members. Write the person who invited them onto 1 card and hand that to the Vice President. One goes to the Chapter President, 1 goes to Membership and 1 to various member for follow up. They will have the opportunity to pass more out to the group during their 60 second. Then personally introduce them to the members or your TNT chapter.
Visitor Reporting
With in 24 hours of the meeting, you will have to summit a report of the visitors from your chapter to ensure an email goes out from corporate. If you choose to, you can use this report form as a digital sign-in sheet using your personal laptop or tablet. Please make sure you can access wifi or your hotspot as some meeting locations may not have reliable networks.
The Visitor Tracking Form needs to be filled out for every visitor of your chapter. This form will automatically add that visitor's contact info to a spreadsheet that everyone in your chapter can see from their account and it automatically adds the visitor to our CRM and email marketing systems.
